This Refund Policy describes the circumstances under which Quantive Tech Group ("we", "our", or "us") may issue refunds for services provided to clients. It should be read together with our Terms & Conditions and the specific statement of work signed for each engagement.
1. Nature of Our Services
We provide professional services — including software development, SaaS engineering, design, and digital marketing — that require dedicated time and resources. Once work has commenced, the time spent cannot be recovered, which is reflected in our refund terms below.
2. Project-Based Engagements
- Initial deposits are non-refundable once project discovery, planning, or design work has begun, as these cover work already performed.
- If a project is cancelled by the client before any work has started, the deposit is refundable, less any non-recoverable third-party costs already incurred on the client's behalf.
- If a project is cancelled mid-engagement, the client is invoiced for all work completed up to the cancellation date. Any unused portion of pre-paid fees will be refunded.
3. Monthly Retainers and Marketing Services
- Retainer fees are billed in advance and cover a defined scope of work for the billing month.
- Retainers may be cancelled by providing written notice as specified in the applicable statement of work (typically 30 days).
- Paid retainer fees are non-refundable once the billing period has begun, but unused hours may be applied within the same billing period.
- Third-party ad spend, software subscriptions, and media costs are non-refundable in all cases.
4. Service Quality Issues
If you believe a deliverable does not meet the scope or quality standards described in the signed proposal, please contact us within seven (7) days of delivery. We will review the issue in good faith and, where appropriate, revise the deliverable at no additional cost. Refunds for completed work are considered only where we are unable to resolve a documented scope-related defect.
5. Non-Refundable Items
- Domain registrations, hosting fees, paid licenses, and other third-party costs.
- Advertising spend already placed with media platforms.
- Work performed before a cancellation request is received.
6. How to Request a Refund
To request a refund, please email sales@qntivetech.com with your project name, invoice number, and a brief explanation of the request. We will respond within five (5) business days. Approved refunds are processed to the original payment method within ten (10) business days.
